Start six to eight weeks out. Book the freight elevator and loading dock at both buildings, ask each one for its insurance rules, and give your internet provider the date early, because that's the thing that's never ready on time. The day before, everyone packs their own desk into one box with their new seat number on it.
Your IT person or provider should power down, unplug and label computers, monitors and network gear. We wrap monitors and towers in pads, move them in their own carts, and set them at the right desks. Servers and anything on a rack need your IT team on site at both ends.
Downtown buildings usually want moves on evenings and weekends, a certificate of insurance before the elevator is released to movers, and short loading dock windows. A 26 ft box truck near Kennedy Plaza, on Federal Hill or in the Jewelry District needs a plan, so we settle the loading spot with the building before move day, not at the curb. For street parking, an emergency no parking tow zone permit from the city keeps the curb clear.
Most desks travel in one piece if they fit the elevator. The ones that don't, we take apart, bag the hardware and tape it under the top. Simple cubicle panels come down and go back up in the same layout. Conference tables split at the base, and the top rides on edge in pads. Our crews of 3 or 4 usually set up as fast as they tear down.
